Confidentiality Statement

This statement outlines the confidentiality protocols governing the project to ensure the privacy and trust of all participants. Office of Student Affair (OSA) at The Chinese University of Hong Kong (CUHK) and the instructional designer, Chan Wing Sha, are committed to safeguarding personal information in compliance CUHK’s institutional policies. All information shared by participants during interviews, workshops, and assessments will remain strictly confidential. Identifiable details, including names, student IDs, and personal circumstances, will be anonymized in transcripts, reports, and presentations. Pseudonyms such as “Student A” or aggregated summaries will replace personal identifiers to protect privacy. Access to raw data, including interview notes, is restricted to the the instructional designer, Chan Wing Sha, and authorized project OSA staff only. The Head of OSA will review anonymized findings to ensure no individual can be traced.

Data collected will be used exclusively to design and improve academic support resources, such as workshops and guidance materials. No information will be disclosed publicly, shared with external parties, or used for disciplinary purposes. Digital records, including audio files and transcripts, will be stored on encrypted, password-protected university servers, while physical documents will be secured in locked filing cabinets. All data will be retained until 31 December 2025 for evaluation purposes and permanently destroyed thereafter through secure deletion or shredding.

Exceptions to confidentiality may occur only in rare circumstances, such as disclosures indicating imminent risk of harm to oneself or others, or if required by law such as court order. Participants retain the right to withdraw consent at any time without penalty and may request further details about data handling procedures. Prior to participation, all individuals will review and sign an informed consent form in their preferred language, English or Cantonese, to confirm their understanding of these terms.
